FundingScribe Pty Ltd (“FundingScribe”, “we”, “us”, or “our”) operates the FundingScribe platform, an AI-powered grant writing service designed for Australian non-profit organisations. Our registered office is in Australia.

2. Information We Collect

We collect information you provide directly to us, as well as information generated through your use of the platform.

Information you provide:

• Name, email address, and organisation details when you register or contact us
• Documents, reports, and organisational materials you upload to the platform
• Voice or text inputs provided during the grant scoping process
• Billing and payment information (processed securely via our payment provider)

Information collected automatically:

• Usage data including pages visited, features used, and session duration
• Device and browser information for compatibility and security purposes
• IP address and approximate location (country/state level only)
• Cookies and similar tracking technologies (see Section 8)

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the FundingScribe platform
• Generate AI-assisted grant application drafts tailored to your organisation
• Match your organisation to relevant grant opportunities
• Send weekly grant match emails and platform notifications (you can unsubscribe at any time)
• Respond to support enquiries and feedback
• Comply with legal obligations and enforce our Terms of Service
• Detect and prevent fraud, abuse, or security incidents

We do not use your data to train AI models that are shared outside of FundingScribe without your explicit consent.

4. Data Storage and Security

All data uploaded to or generated by FundingScribe is stored exclusively within AWS ap-southeast-2 (Sydney, Australia). Your data never leaves Australian jurisdiction.

We implement the following security measures:

• AES-256 encryption at rest for all stored data
• TLS 1.2+ encryption in transit
• ISO 27001-aligned information security practices
• Annual third-party penetration testing
• Role-based access controls and audit logging
• Multi-factor authentication for platform access

Despite these measures, no method of transmission or storage is 100% secure. We encourage you to use strong passwords and report any suspected security issues to security@fundingscribe.com.au.

5. Sharing Your Information

We do not sell your personal information. We may share your information only in the following limited circumstances:

• Service providers: Trusted third-party vendors who assist us in operating the platform (e.g., cloud infrastructure, payment processing). These providers are contractually bound to protect your data.
• Legal requirements: When required by law, court order, or government authority.
• Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred. We will notify you prior to any such transfer.
• With your consent: For any other purpose with your explicit agreement.

6. Your Rights Under the Australian Privacy Act

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. If you close your account, we will delete or anonymise your data within 90 days, except where we are required to retain it for legal, tax, or compliance purposes.

Uploaded documents and grant drafts are retained for the duration of your subscription plus 90 days, after which they are permanently deleted.

8. Cookies

We use cookies and similar technologies to operate the platform, remember your preferences, and understand how users interact with our service. We use:

• Essential cookies: Required for the platform to function. Cannot be disabled.
• Analytics cookies: Help us understand usage patterns so we can improve the product. You may opt out via our cookie settings.
• Marketing cookies: Used to personalise content and measure campaign effectiveness. You may opt out at any time.

You can manage cookie preferences through your browser settings or our in-platform cookie consent tool.

9. Third-Party Links

Our platform may contain links to third-party websites (such as grant portals and government websites). This Privacy Policy does not apply to those sites. We encourage you to review the privacy policies of any third-party services you visit.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email or an in-platform notification at least 14 days before the changes take effect. Continued use of the platform after that date constitutes acceptance of the updated policy.
